How to request deletion
Vocaelis is primarily an institutional product — most accounts are provisioned by schools. There are two ways to have your data deleted, depending on how your account was created.
Path A
School-provisioned accounts
- Contact your school’s Vocaelis administrator (your teacher or IT contact).
- The administrator can delete your account and all associated data directly from the institutional admin console.
- Deletion is effective immediately; backups are purged within 30 days.
Path B
Direct request by email
- Email privacy@vocaelis.com from the email address associated with your Vocaelis account.
- Use the subject line: “Data Deletion Request”.
- Include your full name and school or institution (if applicable).
- We will respond within 7 business days to confirm deletion or request clarification.
- Deletion is completed within 30 days of confirmation; backups are purged within 90 days.
What is deleted
- Account profile (name, email, institutional user ID)
- All conversation history (text transcripts)
- All recorded audio from voice conversations
- Progress and analytics data (scenarios completed, speaking time, feedback history)
- Authentication credentials
What is retained, and why
A small amount of data may be kept after deletion, either because it cannot be linked back to you or because the law requires it.
Aggregated, anonymized usage statistics
Cannot be re-linked to the deleted account. Retained indefinitely for product analytics.
Records required by applicable law
Examples include tax records and audit logs for security incidents involving the account. Retained per the statutory retention period (typically 5–10 years depending on jurisdiction).
Diagnostic / crash data (Sentry)
Not linked to user identity. Auto-purged on Sentry’s standard rotation (~90 days).
